Information on the processing of personal data

The administrator of your personal data is the Association of Journalists and Publishers Repropol, ul. Foksal 3/5 00-366 Warsaw (hereinafter: „Association” or „Repropol”).

The Association can be contacted by letter, by e-mail at zarzad@repropol.pl and biuro@repropol.pl, as well as by phone at: +48 228 285 933.

We will process your data for the purposes of:

a) consideration of the Membership Declaration in connection with the need to verify the fulfillment of the membership acquisition criteria. The legal basis for the processing of your personal data is art. 6 sec. 1 lit. f) REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation data), hereinafter referred to as the GDPR, where the legitimate interest is the verification of members joining the Association.

b) exercise of the rights and obligations of a member of the Association, settlement of membership fees paid – the legal basis for processing in this case is the legal obligation of the Association in relation to art. 6 sec. 1 lit. c GDPR, in connection with the requirements of the Act of 7 April 1989 Law on Associations;

c) informing you about any events related to the activities of the Association; the legal basis for data processing in this case is the legitimate interest of the Association in relation to art. 6 sec. 1 lit. f GDPR;

Personal data will be processed during the period of membership in the Association and after its termination for a period of 6 years for the archiving needs of the Association, until the expiry of claims related to the payment of membership fees and settlements of repartition fees.

Repropol will transfer your personal data to other entities to which the Association entrusts or will entrust the processing of personal data on behalf of and for Repropol. The category of recipients to whom Repropol entrusts the processing of personal data includes subcontractors, suppliers and external entities cooperating with the Association. The entities entrusted with the processing of your personal data belong in particular to the category of providers of infrastructure solutions and may process your personal data in accordance with the GDPR. They may also be used by further entities to process your personal data, which will process them in a third country. Your data may be transferred to third countries and international organizations, provided that entities based in these countries have implemented appropriate safeguards for the personal data being processed.

Your personal data may be transferred to a country outside the European Economic Area (EEA) and processed there. If data is transferred outside the EEA, Repropol uses standard contractual clauses and the Privacy Shield as safeguards for entities from countries for which the European Commission has not found an adequate level of data protection. Each operation of transferring personal data is performed in accordance with applicable law.

Repropol will not share your personal data with other recipients, except for those entrusted with the processing of personal data on behalf of and for Repropol, unless the Association is obliged to provide data under the law, or the disclosure will result from the relationship between you and Repropol.

Providing the data specified in the Membership Declaration form above is mandatory due to the requirements of the Law on Associations. Providing them will enable the acquisition of membership and the exercise of the rights and obligations of a member of the Association.

You have the right to:

  • access to your personal data and receive a copy of the personal data subject to processing;
  • rectification of your incorrect data;
  • request deletion of data (right to be forgotten) in the event of circumstances provided for in art. 17 GDPR;
  • requests to limit data processing in the cases indicated in art. 18 GDPR;
  • object to data processing in the cases indicated in art. 21 GDPR;
  • transferring the data provided, processed in an automated manner.

If you believe that your personal data is being processed unlawfully, you can lodge a complaint with the supervisory authority (Office for Personal Data Protection, ul. Stawki 2, Warsaw).
